Setting up your business email on an iPhone or iPad

Get your you@yourbusiness.com.au email sending and receiving on your phone in about five minutes.

Category: Email Difficulty: Easy Time: ~5 minutes Updated: Aug 2026

This guide covers adding a Media Fortress hosted mailbox to the built-in Mail app on iOS. If your email is on Microsoft 365, stop here and use the Outlook app instead — see Setting up Microsoft 365 on your phone.

Before you start, have these ready

  • Your full email address (e.g. sarah@yourbusiness.com.au)
  • Your mailbox password — this is the password for the email account, not your cPanel or client portal login
  • Your mail server hostname — see how to find it below (usually mail.yourdomain.com.au)
  • An internet connection (wifi or mobile data both fine)
Don't know the mailbox password? You can reset it yourself in cPanel — see Resetting an email password. Any device already using that mailbox will need the new password too.

Step-by-step

1

Open Settings and find Mail

On your iPhone, open Settings, scroll down and tap Apps, then Mail. On older iOS versions, Mail sits directly in the main Settings list.

Tap Mail in the Settings list
2

Add a new account

Tap Mail Accounts, then Add Account. At the bottom of the provider list, choose Other — not iCloud, Google or any of the branded options.

Choose "Other" at the bottom of the list
3

Enter your account details

Tap Add Mail Account and fill in the four fields. The Name field is what recipients see, so use your real name or business name.

4

Choose IMAP and enter the server settings

Make sure IMAP is selected at the top (not POP). IMAP keeps your mail synced across every device — if you read something on your laptop, it shows as read on your phone.

Enter the same details in both the Incoming and Outgoing sections:

  • Host Name: the incoming server shown in cPanel → Email Accounts → Manage → Connect Devices (usually mail.yourdomain.com.au)
  • User Name: your full email address
  • Password: your mailbox password
The most common mistake: leaving the Outgoing Mail Server username and password blank because iOS labels them "Optional". They are not optional — fill them in exactly the same as the incoming section, or you'll receive mail but be unable to send.
5

Save and test

Tap Next. Your iPhone will verify the settings — this can take up to a minute. When it succeeds, tap Save.

Open the Mail app and send a test email to yourself, then reply to it. If both directions work, you're done.

Verification taking too long? If it hangs for more than two minutes, tap Cancel and check the Host Name for typos — that's the culprit nine times out of ten.

Where to find your exact server settings

Rather than guessing, get the real values straight from your account — they are correct for your domain and already reflect your current setup:

  • Your Account Information email. The welcome email we sent when your hosting was set up contains your nameservers and mail configuration. Search your inbox for "Account Information" or "New Account Information".
  • cPanel (the reliable method). Log in to cPanel, go to Email Accounts, find your address and click Manage → Connect Devices. This page lists the exact incoming and outgoing hostnames, ports and security settings for your mailbox.
cPanel › Email Accounts
sarah@yourbusiness.com.au Manage ›
accounts@yourbusiness.com.au Manage ›
info@yourbusiness.com.au Manage ›
Click Manage on your address, then Connect Devices for the full settings

In most cases your mail server will be mail.yourdomain.com.au — but this only works once your domain's DNS is pointing at our servers. If you have just moved your domain across, DNS changes can take a few hours to take effect, and the settings shown in cPanel are the ones to trust.

Setting up before DNS has moved? Use the server hostname shown in cPanel rather than your own domain. Once DNS has fully propagated you can switch the setting over to mail.yourdomain.com.au if you prefer.

Troubleshooting

I can receive email but not send

Almost always the outgoing server username and password being left blank (Step 4). Go to Settings → Apps → Mail → Mail Accounts, tap your account, then SMTP, and check the primary server has your full email address and password filled in.

"Cannot verify server identity"

This means the SSL certificate doesn't match the hostname you entered. Tap Details to see the name on the certificate, then use that as your Host Name — or contact support and we'll confirm the right one for your account.

Password rejected but it's definitely correct

Two usual causes: you're entering your cPanel or client portal password rather than the mailbox password (they're different), or the mailbox is temporarily locked after repeated failed attempts. Wait fifteen minutes, or reset the mailbox password in cPanel.

Email stopped working after it was fine for months

Usually a password change made elsewhere, or your device updating iOS and losing a setting. Check the SMTP settings first — that's what breaks most often.
